Default Meetings (For TAFE)
This thread is for a TAFE class..Not by any means necessary to respond to it
  • Every meeting, regardless of how informal it is and who the attendees are, can be made more effective by sending out a meeting notice, having an agenda ready and keeping minutes. Even the smallest and most minor meetings should have these documents prepared. Discuss whether you think this statement is correct?
  • Why is it necessary for some meetings to be preceded by sending out reports and other documentation to attendees? How can meetings be made more effective through the effective preparation of Documentation?
  • Large, publicly listed companies such as NAB, BHP Billiton and Coles Myer conduct massive Annual General Meetings (AGM) that all share holders are invited to. Discuss how these corporations might prepare for these events. What documents and other aspects of their preparation would be prepared solely to satisfy legal requirements? What other non-legal documentation is provided?
  • Imagine you were organising a virtual meeting, with attendees located in Sydney, Perth, Auckland and Singapore. Videoconferencing is being used to connect the participants with each other . What additional steps, preparations and precautions would you take as you organised the meeting in relation to the documentation that need to go out to the attendees?

I took a few business classes in my youth. Behold:
  • Every meeting, regardless of how informal it is and who the attendees are, can be made more effective by sending out a meeting notice, having an agenda ready and keeping minutes. Even the smallest and most minor meetings should have these documents prepared. Discuss whether you think this statement is correct?
No, real creativity steams from chaos. Organization leads to groupthink and apathy.
  • Why is it necessary for some meetings to be preceded by sending out reports and other documentation to attendees? How can meetings be made more effective through the effective preparation of Documentation?
(SIDE NOTE: strange that this and all other questions assume incorrectly that documentation is a necessity given how I answered it was not)

Send out reports of ideas that were thought of before the meeting AFTER the meeting is complete. Tell employes that thought of the same ideas or failed to bring new ideas that they add no value to the company and will be let go should it occur again. This ensures fresh new ideas in every meeting.
You can never be too careful about legal documents. Make sure to scour everywhere for any legal documents you can find from other companies and present them along with your own. This ensures that all bases are covered and in the event that they are not, new legal documents can be snuck in without others noticing. There should be no non-legal documents.
Make sure all participants are away that english is the offical language (since all your legal documentation is in english). HOWEVER do not specify what it is the offical language of, and similairly leave all legal documentation as vague.
